Inventory forecasting for small business
You don't need spreadsheets or guesswork to know when you'll run out of stock. Here's how small shops forecast inventory from the sales data they already have.
Why spreadsheets fall short
Most small shops track stock in a notebook or spreadsheet. That tells you what you have, but not when it runs out. Forecasting means turning your recent sales into a daily usage rate for each product, then comparing it against the stock on your shelves. Doing that by hand for dozens of products every week simply doesn't happen — so stockouts and over-ordering do.
The simple math behind a good forecast
A practical forecast for a small shop needs only three numbers per product:
- Average daily sales — total units sold divided by the number of days you recorded sales.
- Days of stock remaining — current stock divided by that daily rate.
- Lead time plus safety stock — how long your supplier takes to deliver, plus a small buffer for busy days.
When days of stock remaining drops below lead time plus your safety buffer, it's time to reorder. That's the entire core of inventory forecasting — the hard part is keeping it up to date, which is exactly what software should do for you.
How StockPilot AI does it for you
StockPilot AI computes this forecast automatically from your own data. You record sales as they happen; stock levels update instantly. The dashboard then shows which products will run out first and how much to order, using your shop's lead time (7 days by default) and safety stock (3 days by default) — both adjustable in Settings.
Because every recommendation comes from your actual sales history, StockPilot AI only makes a call when there's enough data — at least three days of recorded sales — so you never see a fabricated number. The built-in AI assistant can answer questions like "what should I restock this week?" using the same live inventory and sales data.
Getting started
- Add your products with current stock levels and prices.
- Record sales for a few days — inventory decrements automatically.
- Open the dashboard to see days remaining and recommended order quantities.
- Ask the AI assistant for restock advice whenever you need it.
